At OneInbox, we respect your privacy and your right to control your personal data. This page provides clear instructions on how to request deletion of your data from our systems.
Under various data protection regulations (including GDPR, CCPA, and other applicable laws), you have the right to request deletion of your personal information that we have collected and stored.
What Data Can Be Deleted
When you request data deletion, the following information will be removed from our systems:

- Communication Data: Messages, conversations, and media files stored in your inbox
- CRM Data: Customer contact information and interaction history managed through your account

- Preferences: Settings, configurations, and notification preferences
⚠️ Important Information Before Requesting Deletion
Data Retention Exceptions
Some data may be retained even after deletion request due to:
- Legal Requirements: Financial records, transaction history, and tax-related information (typically 7 years)
- Dispute Resolution: Data necessary for ongoing legal proceedings or disputes
- Security: Fraud prevention and security incident logs
- Backups: Data in backup systems will be deleted during the next scheduled backup rotation (within 90 days)
Account Closure
Warning: Requesting data deletion will result in permanent closure of your OneInbox account. This action cannot be undone. You will lose access to:
- All messaging channel integrations
- Conversation history and archives
- CRM database and customer records
- Automation workflows and configurations
- Analytics reports and historical data
- Any remaining subscription credits or prepaid services
How to Request Data Deletion
Option 1: Email Request (Recommended)
- Send an email to: ahmed.elsayed478@outlook.com
- Use the subject line: "Data Deletion Request - OneInbox"
- Include the following information in your email:
- Your full name
- Account email address
- Phone number associated with your account (if applicable)
- Any additional identifiers (account ID, business name)
- Confirmation statement: "I request deletion of all my personal data from OneInbox"

Option 3: In-App Request (For Active Users)
- Log in to your OneInbox account
- Navigate to Settings → Privacy & Security
- Click on "Delete My Account"
- Follow the on-screen instructions
- Confirm your decision via email verification
Identity Verification
To protect your privacy and prevent unauthorized deletion requests, we must verify your identity before processing your request. The verification process includes:
- Confirming the email address associated with your account
- Verifying your phone number (if provided during registration)
- Answering security questions or providing additional account details
- In some cases, we may require government-issued ID verification
This verification step typically takes 1-2 business days. We will contact you if additional information is needed.
Deletion Timeline
We receive your request and begin the identity verification process.
Your account is deactivated and you lose access to the platform.
We systematically delete your data from our active systems, databases, and servers.
You receive confirmation that your data has been deleted (except for legally required retention).
Data is removed from backup systems during the next backup rotation cycle.
What Happens After Deletion
Immediate Effects
- You will no longer be able to log in to your OneInbox account
- All messaging channel integrations will be disconnected
- Automated workflows and chatbots will stop functioning
- Your team members will lose access to shared resources
- Recurring billing will be cancelled
Third-Party Platforms
Please note that data deletion from OneInbox does not automatically delete data from third-party platforms:
- WhatsApp: Message history is stored on Meta's servers according to their retention policy
- Telegram: Conversations remain in Telegram's cloud storage
- Discord: Server messages and DMs are retained by Discord
To delete data from these platforms, you must contact them directly or use their respective deletion processes.
Confirmation
Once the deletion process is complete, you will receive a confirmation email stating that your data has been deleted from our systems. This confirmation serves as your receipt and proof of deletion.
💡 Alternatives to Full Deletion
Before requesting complete data deletion, consider these alternatives:
1. Account Deactivation (Temporary)
Temporarily suspend your account without deleting data. You can reactivate later.
2. Data Export
Download a copy of your data before deletion. This allows you to keep records for your own purposes.
3. Selective Deletion
Delete specific conversations, contacts, or message archives while keeping your account active.
4. Privacy Settings Adjustment
Modify your privacy settings to limit data collection and usage without closing your account.
Frequently Asked Questions
Q: Can I cancel my deletion request after submitting it?
Yes, you can cancel your deletion request within 5 business days of submission. After that, the deletion process may have already begun and cannot be reversed.
Q: Will my customer's data also be deleted?
Yes, all data stored in your CRM, including customer contact information and interaction history, will be permanently deleted. Make sure to export any data you need before requesting deletion.
Q: Can I create a new account after deletion?
Yes, you can create a new OneInbox account after deletion is complete. However, none of your previous data will be available.
Q: How do I export my data before deletion?
Log in to your account, go to Settings → Data Export, and select the data you wish to download. You can export conversation history, contacts, and analytics reports in CSV or JSON format.
Q: What if I have an active subscription?
Your subscription will be cancelled as part of the deletion process. No refunds will be provided for the remaining subscription period unless required by law.
